National Finalist teams are allowed to travel with up to 8 members – one team director, one chaperone, and up to six student competitors.
  • Chaperones: If your organization does not require an additional adult chaperone, the team director may act as the sole adult supervisor. If a chaperone is required, they must be of the opposite gender of the team director if both male and female students are on the team. Technical mentors may travel as the designated chaperone, so long as doing so abides by the "gender rule" stated above. However, mentors traveling as a guest of the team are responsible for their own travel costs. 
  • Competitors: Students registered to the official team roster as of October 23, 2025, are the only ones permitted to travel. Competitor substitutions are not permitted. 

Each traveling member of the team must complete the Team Member Information form. The information requested is used to arrange air travel, compile the event program, coordinate tours, and ensure proper accommodations during your time in Denver. A full list of information collected via the form is listed below:

Section 1: Air Travel - This information is needed to make air travel arrangements for the entire team (including chaperone) to travel as a group.  Although the form asks for preferred departure times, they are not guaranteed. The StellarXplorers staff will be the final arbiter of travel plans. Once we have the information, you will be contacted by a representative from FROSCH International, our travel agency. We will arrange airport ground transportation in Denver. Additional information will be provided at a later date. 

For this event, teams will travel in and out of Denver International Airport (DEN).
Departure Date: Tuesday, April 21, 2026
Return Date: Saturday, April 25, 2026

Section 2: Hotel Room Assignments - All teams will stay at the Sheraton Denver Tech Center hotel. Rooms have two double beds, and each team is assigned four rooms. Us the form to provide the list of names assigned to each room. If school/organization policy requires your team to have more than four rooms, please contact the StellarXplorers staff at [email protected].

TEAM PHOTO - DUE BY WEDNESDAY, MARCH 11, 2026

The team photo will be used in the event program, on our social media pages, and in presentations throughout the event. Submit using the upload button to the left.
  • Photos should be in landscape orientation (preferably aspect ratios of 16:9 or 4:3)
  • Photo should be high-resolution to ensure clear printing
  • Feel free to get creative with backgrounds and photo composition (as long as all team members faces are clearly visible).
  • Photo should include student competitors only.

TEAM DIRECTOR HEADSHOT - DUE BY WEDNESDAY, MARCH 11, 2026

​A high-resolution headshot of the team director will be included in the event program.
  • Choose a clean, neutral background free from any distracting elements.
  • Refrain from using a selfie, if possible.
ORGANIZATION LOGO - DUE BY WEDNESDAY, MARCH 11, 2026

Organization logos are used in the event program and on event signage. 
  • Provide PNG and/or EPS file types of the logo, if possible (hi-res logos with transparent backgrounds work best!)
  • If you have one-color and full color versions, please provide both.
RELEASE AND LIABILITY FORMS - DUE BY WEDNESDAY, MARCH 18, 2026

​These forms must be filled out by all traveling members of the team. A parent/guardian signature is required for students under 18. We must have ALL these documents signed and in our possession for your team to be eligible to compete in the event.​
